Today we’re going to take a look at how to do (what I like to call) a one-minute delegation.

As you begin to build your virtual career, you will likely work with other contractors and team members who are spread throughout the world. Sometimes you’re on different time zones and communication can be challenging. This video takes you through the steps outlined in this post (video opens in a new window).

Delegating to Freelancers

As I mention in my book Executive in Sweatpants, I love to use Google Docs web-based word-processing system for making delegations to my team members. It’s quick, easy, and avoids having to send outdated word documents or emails.

Let’s take a look at a real-world example.

I recently noticed that one of my social media “share” buttons isn’t displaying properly. I need to let my web team know that they need to resolve this issue. By using cloud-based applications, I can efficiently delegate my instructions.

Here’s how:

Step 1:  I first take a screenshot of the issue – Most computers have a hot key short cut that allows you to take a screenshot. You could also use this nifty tool or another screen capture tool to do this.

Step 2:  Next, I’m going to draw an arrow to the issue and provide a bit of text in the screenshot. Most operating systems these days allow you to do this without having to open a photo editor.

Step 3:  Then, I simply drag and drop the photo into my document and provide a few more details.

Step 4:  If I haven’t already done so, I could simply press the “share” button and type in the email address of the contractor who will be making the edits on my site (top right of the document). Upon sharing a document, he or she would receive an email alerting them that I had shared a document with them.

Step 5:  Finally I always have contractors type the word “DONE” next to each item in the document to put their stamp of completion on the task. Look for another video at some point that talks about checking contractor quality.
